POSITION: ADMINISTRATIVE ASSISTANT–(FULL TIME) (CLOSES 8/31/2023)

Position Title:            Administrative Assistant

Job Summary:

Coordinate, perform or assist in all Academy administrative, bookkeeping functions.  Coordinate administrative activities for the Executive Director.

Job Relationships:

Responsible to:                         Executive Director

Nature of supervision:             Direct

Positions directly supervised:  None

Major Job Functions:

 The following is a summary of the major essential functions of this job.  The incumbent may perform other duties both major and minor, that are not mentioned below, and specific functions may change from time to time.

  • Coordinate administrative activities for the Executive Director
  • Prepare monthly and quarterly reports for Academy Director; provide other reports to DCJS and Annual Reports for Auditor.
  • Prepare Accounts Receivable invoices. Collect and record monies.
  • Coordinate Accounts Payable work with third party vendor.
  • Coordinate Payroll, working with third party vendor.
  • Supervise inventory of Office supplies; order, maintain and distribute administrative office supplies.
  • Perform administrative duties to include copying, typing, faxing, preparing correspondence, and postage metering. Provide administrative assistance to coordinator/instructor staff as needed.
  • Answers telephone; greet guests, visiting instructors, vendors and others. Provide requested information while always maintaining the proper degree of confidentiality.
  • Maintain professional, cordial relations with other staff members, students, visiting instructors, Sheriffs, Chiefs and other organizational heads. Attend Academy Committee meetings, providing written minutes of meetings.
  • Perform such other duties as may be required from time to time by the Academy Director.

 Qualifications:

Education and training:  High School diploma plus two years college or secretarial school.  This requirement may be waived at the discretion of the Executive Director.

Work experience:  Three to five years office management preferred.

Knowledge, skills and abilities required:  Must have good administrative, communications and people skills.  Ability to maintain confidentiality when required. Excellent written and verbal communication skills.  Proficiency with MS Office applications and QuickBooks.

Position salary range is $42,545.67-$50,051.37, final salary commensurate with applicant skills and experience.

ADJUNCT INSTRUCTORS

POSITION: ADJUNCT INSTRUCTOR-PART TIME (CONTINUOUS RECRUITMENT)

Details:
On a continual basis, the Academy seeks highly motivated and qualified people with excellent skills to serve as Adjunct Instructors.

Successful candidates should be prepared to assist in areas of Academy Instruction. Only candidates that have experience in needed General or Specialized areas of Instruction will be considered.

These are primarily volunteer positions; if compensation at a contract rate is considered it will be determined based on Knowledge, Skills, and Abilities.
